1.About us and this policy
Affinity Search Partners is a recruiting firm. We place technology and information systems professionals with employers on a contract, contract-to-hire and permanent basis, and we help companies fill technology leadership roles. Our office is at 5123 Virginia Way, Suite A23, Brentwood, TN 37027.
This policy explains how we handle information about people in two situations: when they visit this website, and when we write to them or otherwise contact them as part of our business. It is written for business readers and describes our practice as plainly as we can.
2.Why you may hear from us
Our work depends on introducing ourselves to people we have not met. We contact people at companies whose job puts them close to the work we do: owners, operating leaders, technology leaders, hiring managers and the people who support them. We write to their work email address. Now and then we may also telephone a business number or send a letter to a company's business address.
We only make contact where we have reason to think our services could be relevant to that person's role. If a person tells us they would rather not hear from us, we stop, as described in section 6.
3.The information we hold
The information we keep about a person is limited to what is needed to reach them at work and to judge whether contact makes sense. It may include:
- Business contact details: name, job title, employer, work email address, business telephone number and a link to a professional profile, where these are available.
- Information about the employer: what the company does, its size, its location and its industry.
- Public business activity, such as job postings, company news and posts made publicly in a professional capacity.
- The results of checks on whether an email address is likely to accept mail, run before we send.
- Our correspondence with the person and the notes we take about it.
This website sets no cookies and runs no analytics. The company that hosts it keeps the standard technical logs that web servers produce. The pages load a typeface from Google Fonts, and in doing so the visitor's browser sends its IP address to that service.
We do not seek, and do not want to hold, sensitive personal information such as health details, financial account details, government identifiers or information about protected characteristics.
4.Where it comes from
Information reaches us from three directions. Some of it comes from public sources: company websites, job boards, news coverage and professional networking profiles. Some of it comes from commercial providers of business contact data, which we license for this purpose. The rest comes from the person directly, when they reply to us, complete a form on our main website or speak with us.
5.What we do with it
We use the information described above to:
- decide whether a person's role and company make our services relevant to them;
- get in touch with them at work;
- check that an email address is deliverable before we send to it;
- answer when they reply and, if they ask, discuss or provide our services;
- maintain the list of people who have asked us not to contact them;
- keep our systems secure and meet our legal obligations.
We do not track whether the emails we send are opened.
6.Asking us to stop
Anyone can end contact from us by replying to any of our emails and saying so, in whatever words they like. There is no form to fill in and no link to find. If we have telephoned, telling the caller is enough. We act on the request promptly and in every case within 10 business days.
When a person asks us to stop, we keep their name and email address on a do-not-contact list. That list exists so that the person is not contacted again from any source, including data we may license in future. It is the one record we keep on purpose after a person has asked us to remove them.
7.Who else sees it
We do not sell or rent the information we hold, and we do not share it with other companies so they can market to people or target advertising at them.
We do share information with service providers that work on our behalf and may use it only to do that work: the providers of our email and mailbox systems, the services that check whether an address is deliverable, the commercial data providers described in section 4, and the companies that host and store our systems.
We may also disclose information to public authorities where the law requires it, or where doing so is needed to protect the rights, property or safety of any person. If our business is sold or reorganized, the buyer or successor would receive the information subject to this policy.
8.How long we keep it
We keep contact information for as long as it remains useful for the purposes in section 5, and we remove records that have become out of date. Records about clients and the searches we run for them are kept for as long as the engagement continues and as long as accounting, tax and other legal duties require afterwards. Entries on the do-not-contact list are kept for as long as we contact businesses at all, since deleting one would defeat its purpose.
9.Keeping it safe
Access to the information we hold is limited to the people who need it for their work. We use reasonable administrative and technical safeguards appropriate to a small business. No method of storing or sending information is completely secure, and we cannot promise that ours is.
10.Your choices and rights
You may ask us what information we hold about you and where it came from. You may ask us to correct anything that is wrong, and you may ask us to delete what we hold, with one exception: an entry on the do-not-contact list stays so that we do not contact you again.
The law of your state may give you further rights, such as the right to know, to correct, to delete, and to opt out of the sale or sharing of personal information. We do not sell or share personal information in that sense, so there is nothing to opt out of, but we will honor the other rights where they apply. We will not treat you differently for exercising any of them.
To make a request, reply to any email we have sent, use the contact form at affinitysearchpartners.com/contact, or write to the address in section 14. Before acting, we may need to confirm that the request comes from the person at the email address we contacted. We respond within the time the applicable law allows. Someone you have authorized to act for you may make a request on your behalf.
11.Minors
Our services are for businesses and the adults who work in them. We do not knowingly collect information about anyone under 18, and this website is not directed at them.
12.Where we operate
We operate in the United States from Tennessee. The service providers named in section 7 may process information wherever they operate, which may be outside the state or the country from which you are reading this.
13.Updates to this policy
When we change this policy, we post the new version here and change the effective date at the top of the page. Check the date to see whether the policy has changed since you last read it.
